Microsoft 365 licensing

First, the value of what you already pay for. Then, only what is justified.

First, what you already own

Before recommending anything, we answer three questions: are the seats you pay for assigned? are they used? what does the unused part cost? We also check whether a capability you pay for is switched off. If you hold Microsoft 365 Copilot, we show how many seats are used and how many are not.

The order of our recommendations

  1. Use what you own

Assign and switch on what you pay for, before buying.

  2. Add-ons

If a capability is missing, we look for the add-on that covers it.

  3. A plan change, only with a reason

We propose a higher plan only when there is a business or security reason, and we name it.

Moving from Microsoft's Business plans to Enterprise re-prices every seat, so it needs a very strong business reason, stated in the recommendation.

Doing nothing is a valid option, and we always show it. So is reducing: fewer seats or a cheaper plan, when your goal is to cut costs and you lose nothing you asked for.

Costed options

We present up to three options besides doing nothing, each costed line by line and showing how many of the needs you stated it closes.

  • Prices are reference prices: they carry the date we read them and are not a quotation.
  • A product with no price is shown as not priced, never as free or as zero.
  • What can be recovered at your next renewal is stated apart.
  • The options are fixed in the document you receive: a price loaded later does not change what you already hold.

What you receive

  • Licensing report — inventory, recommendations and cost scenarios
  • Cost summary, one page — what you spend, what is not used and what can be recovered at the renewal
  • Brief for the C-suite, two pages — where you stand, what we recommend and what it costs

In PDF and Word, in English or Spanish. We schedule the next review: quarterly, annual or driven by your renewal.

Scope

We review per-seat Microsoft 365 licensing. We do not optimise Azure infrastructure cost (reserved instances, savings plans, right-sizing) or Dynamics 365 licensing.

If you use Azure, with a read-only role you assign, we also show whether each subscription has a budget with alerts and what was spent each month.

Holding a licence is not the same as having it configured. The security assessment answers that.
